1. Who we are
SoldierOS is an independent product operated by Incendiary Media LLC (“SoldierOS,” “we,” “us,” or “our”). This policy applies to our website, pilot communications, validation interviews, and browser-based pilot experience.
2. Information we collect
Information you provide
- Account information, including email address, preferred name, required City and ZIP, and whether you use SoldierOS as a Soldier, leader, or both.
- Leader connection requests, including a leader email address you choose to provide and the status of that request.
- Minimal roster information, such as preferred names, City and ZIP, general focus areas, contact dates, and non-sensitive next actions.
- Administrative PHA and medical-readiness action labels—Current, Due soon, Action required, or Not verified—and the date the label was verified. We do not request the medical reason underlying a status.
- Feedback, interview responses, feature requests, and support communications.
Do not use open action fields to record diagnoses, profiles, appointments, treatment information, personal crises, financial account details, disciplinary allegations, or other sensitive narratives.
Information collected automatically
Our hosting, authentication, and security providers may process basic technical information such as IP address, browser and device type, referring page, timestamps, and diagnostic or security logs. We do not collect street addresses, device-derived precise location, advertising profiles, or medical records.
3. How we use information
- Provide, operate, secure, and improve SoldierOS.
- Support geographic planning, drill-distance workflows, and locally relevant resource guidance using City and ZIP.
- Show Soldiers and authorized leaders which administrative readiness items need verification or follow-up.
- Respond to early-access requests and conduct product research.
- Detect abuse, troubleshoot problems, and meet legal obligations.
We will not sell your personal information or use Soldier data for targeted advertising.
4. Leader connections and sharing
If a Soldier requests a leader connection, SoldierOS may send an outreach event to our communications provider containing only the leader's email, the Soldier's preferred name, a connection identifier, and a link to SoldierOS. City, ZIP, readiness status, medical information, and private notes are excluded. The identified leader may see the Soldier's preferred name, the email address used for the request, and its status. A leader must affirmatively accept before the Soldier is added to that leader's roster.
We may share limited information with providers that help us authenticate users, host, secure, analyze, or communicate about the service, subject to appropriate restrictions. We may disclose information when required by law, to protect rights or safety, or as part of a business transaction. We do not share information with the U.S. Army, Department of Defense, Veteran Claims LLC, or another business merely because a user identifies as a service member.
5. Retention and cookies
We aim to collect only what is reasonably necessary and retain it only as long as needed for the purposes described here, legal obligations, disputes, and security. The current launch site does not intentionally set nonessential advertising cookies. Hosting providers may use essential technologies for security and reliable delivery.
6. Your choices and rights
You may ask to access, correct, or delete information you submitted, or opt out of product communications. Depending on where you live, additional rights may apply. Contact chris@incendiarymedia.com.
7. Security and children
We use reasonable safeguards appropriate to an early-stage pilot, but no online service is completely secure. See our Data & Security page. SoldierOS is designed for adult leaders and is not directed to children under 13.
8. International use, changes, and contact
